The following example, for illustration purposes, is for a fictitious business requesting a solution
Project Overview
We are a busy, walk-in friendly salon with 8 stylists. Our receptionist constantly answers the question, "How long is the wait?" We currently use a whiteboard, which is inaccurate and unprofessional.
Goal
Our goal is to automate the display of wait times to manage customer expectations and free up the receptionist. The system needs to be simple: staff use a shared tablet interface to update their status, and the large LED sign updates instantly. We need to display the status of 8 stylists and the customers in the queue.
Topics & Scope
- A shared tablet will be available for staff to make quick inputs.
- Staff will enter their names in the morning.
- The interface should list the 8 stylists and allow any staff member to quickly tap to change a stylist's status (e.g., Jane Smith: [Available] ➡️ [With Client]).
- The system must allow the stylist to estimate the wait time when setting the status to "With Client" (e.g., 30 minutes).
- Staff should be able to input a scheduled break with an estimated time (e.g. 60 minutes)
- Staff can also input that they are done for the day.
- As new customers join the queue, staff can enter their names on the tablet
- Changes should be reflected instantly across devices.
- The tablet should have a line for Max Wait time. This will inform a customer how long they can expect to wait if they join the queue.
- We will purchase a few commercial LED display panels.
- The software must generate a clean, large-font web view that can be displayed full-screen on the dedicated LED sign hardware.
- The view should scroll showing the queue and their wait times, e.g. Sarah 15m (Joe) -- Jane 23m (Pipa)
